If elected to the Highwood Estates Board of Directors, my primary focus will be to transform our clubhouse into a vibrant community hub that welcomes and accommodates a wide variety of events. However, to achieve this, I will need the backing of not just the board, but the entire community. My goal is to modernize our event planning processes to eliminate chaos and confusion that can occur leading up to or on the day of an event. This plan outlines how I aim to create a streamlined workflow that makes it easier for everyone involved, whether it’s a board-planned event or a community-hosted gathering.
During the first two months, I will work closely with current board members to present this plan and gather their input. I volunteer myself to head up the work on developing a workflow and documentation standard for event planning. I will also distribute surveys to residents to gather ideas and preferences for events and identify potential volunteers and community leaders interested in assisting.
In months three and four, my focus will be on creating a comprehensive event documentation workflow. This will involve developing templates and tools for event planning, including checklists, schedules, and communication plans. I will ensure that event details are accessible to bartenders, board members, and residents. This system will allow anyone, whether board members or community hosts, to know exactly what needs to be done, thereby reducing last-minute stress and confusion.
As we move into months five and six, I will expand our event offerings, using feedback from the initial events to improve. The goal is to schedule one or two large events per month and introduce a variety of weekly events such as neighborhood basketball games, bags leagues, Wii bowling leagues, board game nights, retro technology talks, and RC events. To promote and encourage volunteerism, I will establish a volunteer program with clear roles and responsibilities and recognize and reward volunteers to encourage ongoing participation.
Ongoing evaluation and adjustment are crucial to the success of this plan. I will conduct monthly meetings with board members to review event outcomes and workflow effectiveness, making necessary adjustments based on feedback and observed challenges. Additionally, I will distribute quarterly surveys to gather ongoing feedback from residents and adjust event offerings and processes as needed to better meet community needs.
For long-term sustainability, I will institutionalize processes by documenting all workflows and procedures to ensure continuity beyond the term. New board members and volunteers will be trained on established processes. My aim is to build a legacy of engagement by fostering a culture of community involvement and continuous improvement, ensuring that the community remains engaged and events continue to evolve based on resident interests and feedback.
In conclusion, by focusing on these strategic goals and implementing a clear plan, I aim to enhance the utilization of our clubhouse, increase community engagement, and create a welcoming atmosphere for all residents.
